Just in case you haven’t heard the news, the former head of PayPal, and recent CEO of Yahoo! has tendered his resignation five months after assuming the position. He fudged his resume – just a wee bit – by stating that he has a degree in Computer Science and one in Accounting. A vigilant shareholder, apparentlywith his own motives, did some research and found that the CEO does not have a degree in computer science. This is yet another high profile person who has had to resign his job because of inaccuracies in his resume.

Several years ago I wrote an article titled, Lying on Résumés…Alarmingly Common, and it looked at several high profile individuals who had embellished their resumes. A former manager of a professional baseball team had to retract a statement that he was an All American Basketball player, and that he played basketball at UCLA prior to signing with the Dodgers. Another sports executive switched his degree from social work to business administration in an attempt to gain an edge in the purchase of a sports team.

In Canada, a politician had to quit his caucus when it was revealed he never attended law school as he claimed on his résumé. There was also a ‘doctor wannabe’ who practiced medicine in the US and Canada for 10 years before it was found out he never had a medical degree. In 2007, the former dean of admissions at MIT had to resign after she lied about her academic credentials. She said at the time: “I misrepresented my academic degrees when I first applied to MIT 28 years ago and did not have the courage to correct my resume when I applied for my current job or at any time since.”

So, whether it’s a degree that one does not have, or skills or duties that are exaggerated, it is obvious that many people feel compelled to beef up their resumes with fake accomplishments. More often than not the perpetrator is someone in a senior role. This leaves one to wonder why people who have been successful on their own merit, feel that they should embellish their qualifications.

Although reference is being made to people at high levels of an organization, it does not mean others with lesser qualifications are not using the same tactics. Surveys show from time to time that a vast number of people – ranging from general office to senior executives – pad their resumes. But as these people have found out it is never a good idea to exaggerate one’s credentials. Sometimes it takes five months to uncover the truth; at other times up to 28 years, but when it happens it can have a devastating impact on one’s career.

Since spring is in the air and the Yahoo story so recent, it may be a good time to review your resume and make sure that every employer, date of employment, and achievement is correct. No one wants to be caught in embarrassing situations like these.

From time to time we hear of robo calls when politicians send out mass messages to their constituents to get their attention, but these activities are not limited to politics. Don’t be surprised if one day you find yourself having to make a robo call to a robo cop to check if robo reference checking is legal. Well, am injecting a bit of humour here, but automatic reference checking is a reality, and might just be coming to a job search near you.

Automatic reference checking tools allow companies to obtain more and better feedback from references. One such tool is Pre-Hire 360, which according to a white paper from the developer, SkillsSurvey Inc., it “moves beyond unimaginative, close-ended questions that many candidates have prepared for, and it moves beyond simplistic verification (yes/no) of prior employment”.

How does it work? A job seeker’s references are asked to complete an online survey rating the person’s skills, anonymously. This survey consists of 25 questions. It takes approximately 10 minutes and can be done at any time. Once all references have responded, the tool aggregates their ratings into a report.

The tool delves into the candidate’s strengths and weaknesses as identified by their managers and co-workers and accelerates one’s ability to uncover the true nature of a candidate’s performance at work. It operates on the premise that “candidates are likely to embellish their past accomplishments, and are not likely to tell you about situations at work that did not turn out so well for them.”

At surface level, this sounds like a great idea. It would work quite well for references who are at a distance and easier to reach by email. And, as some users have indicated, it gets a 360-degree view of candidates from their peers and customers and strengthens a company’s talent pool; it increases the calibre of hires, and offers less staff turnover. However, when some users make statements like “…references tend to be brutally frank about their colleagues …and they don’t have to worry about information getting back to the candidate” or “Sometimes the candidates don’t even realize that their references are ruling them out”, then it starts to look sinister, in my opinion. So, while it might be ideal from a company’s perspective, job seekers should be concerned, or at least, be aware.

Another part of the process is that candidates who pass a telephone interview must immediately provide a minimum of five references before the next stage of the interview. Two of these references must be past or present managers. What if this candidate is conducting a confidential job search, and what happens if they do not have five names to offer as references?

For legal reasons, companies usually provide dates of employment and job titles, but the anonymity built into the tool allows references to provide more than the customary confirmation. A candidate without any character flaws wouldn’t have to worry about someone digging deeper, but what if a candidate has a minor flaw, or what if he or she had some issues with a manager, and this manager decides to be spiteful? These are ‘what ifs’ scenarios, but they can happen. Although the process is anonymous, employers could be opening up themselves to some legal push backs.

What can job seekers do to prepare themselves?

Become aware of this trend, and make sure to choose references wisely – individuals who are eager to vouch for their character, skills and work ethic.

Inform references that a confirmation request could come through email in the form of a short survey instead of the standard referencing process.

Confirm with the individuals that they are comfortable acting as references, and if there are any issues that could surface, have a frank discussion ahead of time.

Prior to the interview, advise references which company or companies they might expect to hear from so they are not surprised.

Send references an updated resume, and highlight areas of your skills and accomplishments that they should address during the reference checking process

I think such a tool works well for companies as it cuts down on telephone tags and reduces costs, but it has drawbacks. Confidentiality and anonymity are two of them. Share your thoughts.

Probably not much, and this post is not about scaring anyone. However, as most of us have given up or reduced our use of landlines, relying more on cell phones to communicate, conduct our job searches, find directions, search the Internet, and send and respond to emails, studies have shown that we are more exposed to higher levels of radiation by our constant use of these gadgets.

Now, whether there’s a connection between cell phone use and cancer, especially since studies have found contradictory evidence about it, noted health advisor, Dr. Andrew Weil, commented in his recent newsletter that “it seems prudent to me to take commonsense precautions. Brain tumors can take 30 to 40 years to develop, so it could be a long time before we know for sure whether cell phone use is safe or, if not, how great the risks may be.” He recommends the following:

Use earpieces, headsets or speakerphones.

Save long conversations for conventional phones.

In your car, using a cell phone that has a Bluetooth connection. Many new dash-mounted GPS units have a Bluetooth mode, so that your phone works through the GPS unit’s microphone and speaker. This has the added advantage of keeping your hands free for safer driving.

Limit the time children spend on cell phones – they may be more vulnerable than adults to adverse effects.

Find out how much radio frequency energy your cell phone emits.

In addition, the Environmental Working Group, a non-profit health and environmental organization also offers the following:

Buy a low radiation phone

Listen more and talk less as our phone emits radiation when you talk or text, but not when you’re receiving messages.

Hold the phone away from your body when you’re talking, not against your ear, in a pocket, or on your belt where soft body tissues absorb radiation.

Stay off the phone if there are fewer signal bars as it emits more radiation to get the signal to the tower.

Limit children’s use of cell phones as, it is said, children’s brains absorb twice the cell phone radiation as adults.

So, as the debate continues, there may or may not be a correlation between the use of cell phones and cancer, and by extension, the job search, but it might be worth it to take a break from the job search to check on the radiation ranking of your phone.

The SAR limit (Specific Absorption Rate) for radio frequency energy is similar in Canada and the United states: 1.6 watts per kilogram. For more information, visit Industry Canada’s website at (www.ic.gc.ca) and the Federal Communications Commission website for (www.fcc.gov).

This is not only about health, but also about safety. And, by the way, landlines are still alive and safe!

Are you a job seeker who is frustrated with online applicant tracking systems (ATS)? Do you often wonder if your resume has disappeared into a blackhole because the only response you have had from the company is a generic, computer-generated acknowledgement? Well, you have a legitimate reason to be frustrated. After all, only 1% of total applicants get an interview. It’s also likely that your resume may have fallen into the 75% (approximately) of resumes that are discarded for using the wrong words. [Source: Preptel].

To help you understand the ATS process, and to find out how you can boost the chances that your resume will get through this ubiquitous system, I contacted two experts: Chip Cohan, VP of Business Development at PrepTel, and Sylvia Dahlby, of Advanced Personnel Systems, Inc., the company that develops the SmartSearch® applicant tracking system.

SmartSearch® helps companies find resumes fast in a searchable database, and because employers can store thousands of resumes in databases, the system helps them identify qualified candidates among previous as well as new applicants.

PrepTel, on the other hand, is a job seeker’s ally. They are the developers of ResumeterTM, a tool that uses the same technology hiring companies use to help identify deficiencies and show where a résumé may be improved, so it rises to the top of the applicant pool during the screening process. According to Chip, the tool “…enables individuals to quickly and easily customize a résumé for each job opening increasing the success the résumé will be reviewed and considered for an interview”. This Candidate Optimization service is purported to “…improve a candidate’s chances of getting an interview, securing an offer, and maximizing their compensation package.”

Below are some tips that you should consider when using applicant tracking systems:

Don’t limit the length of your resume. Job seekers are often told to limit their resumes to two pages. That’s still OK if you are sending it as an attachment or delivering it in person, but if you are using the ATS, you can send in a longer version.

Use a generic heading like ‘Work Experience’. Fancy headings like Career Summary, Career Progression, and Notable Accomplishments, are passed over by the system because it is not designed to recognize such headings.

Begin the work experience section with the name of your employer. It is customary to start this section with the employment dates, but the system looks for the name(s) of employers first. Therefore, start with employer’s name, your title, and the dates you held these titles, and place them on separate lines.

Keep formatting simple and omit tables and graphics. The system cannot read graphics, and misreads PDF files and tables.

Include a blend of keywords and phrases. Keywords are important, but the system is programmed to conduct semantic searches where it looks for strings of words identified in the job posting.

Do not ‘sand-bag’ the system. Mirror the job posting as much as possible, but do not manipulate the system with needless repetitions of words and phrases. Recruiters frown on candidates who try to game the system.

Research the company’s corporate culture. Before you submit your resume, visit the company’s website to get a sense of its corporate culture. Look at the words they use to describe their value, then incorporate those words in your resume and/or cover letter.

Make the Resume Easy and Fast to Read. Even though the machinery is searching for keywords, candidates are well advised to have a nice, clean looking document with plenty of white space that’s easy to read on a computer screen and in print.

Use Bullet Points. To avoid long sentences and huge blocks as paragraphs, it is advisable to use bullets, preferably asterisks.

Add a Cover Letter. The cover letter is the perfect place to show interest and fit for the company culture.

Dahlby also offered some additional suggestions: Job seekers should rewrite their resumes for each position to make sure they mirror the job description. She also advised against ‘sandbagging’ the process. Sandbagging is when candidates include needless repetitions of words and phrases, or when they try to ‘game’ the system by using a lot of keywords and hiding them with white fonts.

With the above information, you should now be equipped to optimize your resume to make sure it ranks high enough where a human will, at the very least, read it, and your frustration level should be reduced a notch.

Social media is enabling job seekers to market themselves creatively to employers, and the image above highlights some of the tools they are using. Of course, Twitter, LinkedIn and Facebook take centre stage. With so many tools, one is left to wonder if the days of the paper resume are really numbered, or as it’s often touted, if “the resume is dead!” As seen on the image, one-third of human resources managers predict that traditional resumes will be replaced with social/business networking sites.

With respect to networking, although the term generally conjures up images of forced smiles and awkward conversations, it is well-known that more than 80% of job opportunities are found in this manner. Therefore, the onus is on job seekers to learn effective networking skills to improve their chances of job search success.

“A blog is a non-intrusive way to get employers interested in your brand without even applying for a job”, says one statement in the image. This is a message I constantly sell to job seekers, including a group of communications, advertising and marketing professionals I spoke with recently. Use a bit of creativity, start your own blog or contribute to other blogs to stand out from the crowd and grab the attention of potential employers.

While job seekers should embrace these modern job search tools, they also need to be cautious. Using these tools to bash one’s boss or to post inappropriate comments or images online is a breach of social media etiquette.

Don’t be surprised if from March 4-10, 2012, you see ebook authors offering their books at steep discounts, or for free. You see, March 4, is Read an E-Book Week, a practice that’s been going on for several years. The Canadian Parliament took it a step further by declaring during its 41st sitting in November 2011, that March is Read an E-Book Month. We have Canadian author, Rita Toews, to thank for that. Toews is an award-winning author and founder of E-Book Week.

If you are an author of an ebook, or you have converted your Pbook (printed version) to an ebook, you might want to participate in Read an E-book Week. That’s almost a 50% savings!

No Canadian Experience, Eh?, was a ‘first-of-its-kind’ career guide (when the first edition was published in 2007), that addressed the challenges that new Canadians face during their job search. It covers not only job search basics such as resume and cover letter development; preparing for and mastering the interview; building professional networks, and accessing the hidden job market, but includes advice and strategies from top career experts on social media, personal branding, onboarding, green careers, leadership, stress management, career assessments, self-employment, consulting and time management.

Last year, it was Google+, now it’s Pinterest! Social media is exploding at an alarming pace that it’s becoming quite difficult to keep up. At the same time, as a career coach, I have to know what tools are available so I can guide my job-seeking/career transition clients accordingly.

With that, and as an early adapter, I jumped on the Pinterest bandwagon and requested an invitation. A couple days later my request was granted and I created an account, curated my websites, then decided to explore the tool in more depth. It has visual appeal, for sure, is great for graphic content and creative job seekers could find ways to build their resumes. As a matter of fact, I found one resume I thought was unique and pinned it to my board. So, since my foray into the tool two weeks ago, here’s what I found:

It is a virtual Pinboard that “lets you organize and share all the beautiful things you find on the web. People use pinboards to plan their weddings, decorate their homes, and organize their favorite recipes”, and may I dare say, create somewhat of a resume.

It drives more referral traffic than Google Plus, LinkedIn and YouTube combined. Shareaolic Report. If it drives more traffic than LinkedIn, should job seekers be playing in that space?

Techcrunch reported that it had 11.7 million unique visitors, faster than any other standalone in history. It was also named by Techcrunch as the fastest startup in 2011. How many of those visitors were recruiters and hiring managers?

Their goal is to “connect everyone in the world through the ‘things’ they find interesting.” A bold goal!

Toronto’s Globe and Mail says “Pinterest leads content curation boom”.

In a couple of days I will be speaking to a group of communications, advertising and marketing professionals, and with such a creative bunch, you bet Pinterest will be a part of the discussion!

Can job seekers use this tool to maximize their job search? What are your thoughts?

By the way, if you wish to come along for the ride, you can click here to follow me on Pinterest.

Brampton, ON, February 20, 2012. The second edition of No Canadian Experience, Eh? A Career Success Guide for New Immigrants is now available as an ebook and in digital formats such as Kindle, Nook, Kobo and iPad. Career Coach and Author, Daisy Wright, who first published the hard copy version in 2007, said, “It is common for me to field enquiries about the book from professionals around the world who are planning to move to Canada and want to make sure they understand how to conduct an effective job search campaign on arrival in Canada”.

While the book addresses job search basics such as résumé and cover letter design, and how to prepare and master the interview, ways to build professional networks, and secrets to access the hidden job market, this edition includes contributions from 16 top career experts.

“The job search process has changed significantly since 2007, and it was important to give newcomers up-to-date tools and information that will help them compete with other job seekers in the crowded marketplace”, said Wright.

Wright says that while settling successfully in a new country is not an easy task, it is achievable if one adopts a success mindset and perseveres. “I hope that readers will recognize, and be inspired by, the consistent theme throughout the book – that perseverance and the application of various job search strategies can, in the end, provide the desired results and minimize the trauma often associated with settlement.”

The ebook can be ordered directly from the book’s website at No Canadian Experience, Smashwords, and Amazon. The regular hard copy can be ordered from Career/Life Skills Resources in Concord, Ontario as well as from CreateSpace, a division of Amazon.com.

Wikipedia’s Definition of a patchwork quilt: a quilt in which the top layer consists of pieces of fabric sewn together to form a design.

By my own definition, a patchwork quilt résumé is one that is made up of phrases and sentences copied from other people’s career documents (résumé, cover letter, bio, or LinkedIn Profile), and presented as one’s own.

Recently, there was an intense discussion on the forum of one of my professional associations about someone who had copied blocks of a sample résumé to create her own then contacted one member to spruce it up for her. While scrutinizing the document, the member realized the contents didn’t gel, so she did a Google search. It turned out the sample résumé was crafted by another member of this same association and posted in an article on AOL.

I have had my share of people sending me résumés made up of bits and pieces of other people’s résumés, and sometimes cover letters. In one case, it was the summary from one of my own creations. As I started reading the résumé, I thought the wording sounded familiar. On checking, I realized it was one I had written for another client. This new client told me someone had helped him out for free but he wasn’t having much success with it.

When information is copied from someone else’s résumé, it is very easy to spot the patchwork quilt design. The information is incoherent; statements are generic and some phrases just do not match the person’s experience or background. Actions like these only serve to damage one’s brand, and elicit accusations of plagiarism, copyright infringements, and ethics. Moreover, if such a résumé lands on the desk of a discerning hiring manager, such a candidate’s credibility will come into question, and he or she will most likely not be called for an interview.

Here are the facts:

Your résumé is a branding tool that tells YOUR story, not someone else’s, and shows the face YOU want employers to see.

You are unique! There is no one else like you, with the same experience, accomplishments and work ethic. Your co-worker may have the same job description and may do the same work like you, but he or she is not your clone. You must differentiate yourself.

Your aim is to create a résumé that captures your unique talents, accomplishments and experience; not one that looks like a patchwork quilt, or one that gives the impression you have a Jekyll and Hyde personality.

Here’s what you can do:

Instead of scouring the Internet for sample résumés to build your own, take a look at your job description and ask yourself “What have I done with the job they asked me to do? How is the company better off since I joined?”

Read each job description statement and apply the ‘so what’ factor to each. For example, if one of your responsibilities is to “monitor and analyze sales promotion results...” Ask yourself, “So what? What did I do? What happened?”

Review your last two performance appraisals and look for the nuggets of your contributions from projects you worked on, objectives met and targets exceeded.

Start building a résumé that tells YOUR story. Make sure each statement addresses your value proposition, and answers the employer’s question “Why should we hire you?” If you are unable to create your own résumé, find someone whom you trust; has credentials and know what they are doing.

Are you one of those candidates whose eyes turn to the ceiling, or who say “No” when asked if you have any questions? As a job seeker, professional or senior executive, you are smarter than that. You have already researched the company and have a list of questions to ask. After all, the interviewer(s) may have been so busy taking notes that they missed some of your key points, and you welcome another opportunity to emphasize those points.

One way of making sure that your key points were not missed and that you have demonstrated your value in the interview, is to be ready for this inevitable question – “Do you have any questions?” Here are some questions to ask:

What do you see as the priorities for this job in the first three months?

Their answer will give you more clarity and allow you to zero in on how your background closely matches those priorities.

Is there anything you’d like me to explain in more detail?

This question gives you a chance to delve deeper into your successes and illustrate your ability to exceed their expectations.

Do you have any doubts about my ability to do this job?

You may or may not get an answer to this question but if you do, it will help you to address any weaknesses or shortcomings they may have picked up during the interview.

Why did this vacancy occur?

You will want to know if it’s a newly-created position; if the person was let go, or if it’s a hot seat where no one stays for too long.

If I am the successful candidate, which duties would you like me to accomplish first?

This will go to the heart of where they are hurting, and you will have to be prepared to focus your energies in those areas first.

Since you are also interviewing the company, the responses to these questions will also help you determine if the company will be a good fit for you. Go ahead and boldly ask those questions. It’s another opportunity to tell your stories and get hired!
